Job Title: Administrative Assistant - WA
Job Purpose:
Responsible for performing administrative and clerical duties for management by performing the following duties.
Responsibilities:
1. Answer incoming telephone calls, directs the calls to the appropriate person and takes accurate messages.
2. Responsible for all faxing and copying correspondences.
3. Files service tickets, time sheets, purchase orders, installation tickets and vendor files.
4. Responsible for ordering and maintaining inventory of office supplies.
5. Creates files and assist with administrative duties.
6. Provides branch manager job folders for upcoming installations.
7. Provide job packets to Warehouse Manager.
8. Acts as a back up for Service Supervisor when needed.
9. Assists daily with service: provides eta for customers, transfers calls etc.
10. Supports and obtains information over the phone for technicians.
11. Sends & distributes mail; including out of town technicians on a weekly basis.
12. Maintain monitoring contract books and customers (primary contact for Customer and CSSS to include; entering new contract into monitoring spreadsheet, providing contact updates to CSSS and filing with MAA, updating city with new contracts monthly, providing technicians with account numbers and other information needed, performs monthly audit of accounts charged by CSSS).
13. Upload Pictures and Check lists to Share Point and update Spread Sheets as needed.
14. Perform PM audit; review every PM sheet for accuracy and notify General Manager of all inaccuracies.
15. Assist Office Manager with marketing and administrative projects as needed.
16. Assists with miscellaneous projects and supports other administrative staff.
17. Cleans break room including refrigerator and makes coffee.
- Performs other related duties as required and assigned.
Qualifications
- HS Diploma or GED equivalent;
- Previous related experience and/or training; or equivalent combination of education and experience.
- Flexibility and the ability to complete assigned projects as tasked.
- Ability to multi-task and change project priorities.
- Desire to help others be successful.
- Attention to detail and process orientation.
- Determination and a positive attitude.
- Experience and proficiency with Microsoft Office suite.
